Structured documentation from your own templates — completed in a web portal or by phone, with AI turning short answers into a finished document, plus review/approval and export.

Open Documents ↗- Open Documentations → + Create New (editors only).
- Pick a client, then answer each configured question — type, or tap the microphone to dictate.
- Some questions have answer requirements; if something's missing you'll be asked to add it before submitting.
- Submit — AI writes each answer into your format and produces one combined document.
- Call the documentation phone number shown in the app (a banner displays it).
- You must call from a phone number your admin has registered for you.
- When prompted, enter your client's PIN on the keypad, then answer each question out loud.
- The finished documentation appears in your list automatically.
- Open a document to read the finished write-up and its AI summary.
- Toggle 'Show user's original answers' to see exactly what was entered; if editable, edit any answer and save — AI re-writes that section.
- Edit the summary while the document is New or Declined (Approved documents are locked).
- Export with Copy, Download PDF, or Download Word.
- Status: New (awaiting review), Approved, or Declined (reopen to read the reason, revise, and resubmit).
- Open Clients to see the clients assigned to you (searchable). You can document for any assigned client.
- If a client you need isn't listed, ask your administrator to assign them.
- Ask about clients/documentation you can access; scope to all or one client.
- It's read-only (it can't create or change documents) and the conversation isn't saved — a HIPAA-minded design.
- Admin → Providers. Add a provider by assigning an existing hub user who has Documents editor access; set their name and the US phone number used for caller-ID on the phone line.
- Add Bulk Providers to onboard several at once. Edit name/phone/active or delete a provider (sign-in and passwords are managed in the hub).
- Admin → Clients. Add a client (name, assign to providers, optional clinical notes used as private AI context).
- Add Bulk Clients by pasting one 'First Last' per line. Edit or delete clients.
- Admin → Documentations shows all documents grouped by status; filter by client, provider, or Doc ID.
- Open a document to edit it and set its status. Choosing Declined requires a reason (shown to the provider); Approving locks it.
- Admin → Settings → Documentation Steps: write general AI writing instructions, set the elaboration level, and build your question set (add/edit/reorder steps, each with a prompt, optional AI instructions, answer requirements, and Required flag). The same questions are used in the portal and on the phone.
- App Settings: set a spoken phone intro message, and turn on 'Save documents to OneDrive/SharePoint' to auto-save each finished document as Word (needs the hub Microsoft connection). Use 'Sync all now' to back-fill.
- Store documents in your own database (App Settings): with an AppFrunk Data subscription and a connected read-write SQL database, store saved documents, their answers, and client records in your own database instead of on AppFrunk. Enabling moves existing data there, verifies it, then removes it from AppFrunk. Choose what happens if your database is unreachable (save on AppFrunk temporarily and auto-move it later, or block saving) — the default admin is alerted. Switch back anytime.
- Trash: deleted documentations wait here for 60 days — restore one (with all its answers) or delete it forever. After 60 days they're removed automatically (the admin who deleted it is emailed 7 days beforehand).
- Activity Log: review actions taken in the app.
